Position Summary Statement
The incumbent assists to perform a spectrum of clerical support duties including:
- Receiving and screening calls
- Preparation of standard correspondence, memorandum, letters to clients, quotations
- Providing secretarial support in file administration, tracing, stationery etc.
- Preparation of standard and ad hoc reports for the Banquet Sales department.
a) To be responsible for all daily incoming mails/correspondence into the Banquet Sales department. Clears the pigeonhole at least twice a day.
b) To accurately type reports, letters, memo or fax documents assigned to her and to do filing and maintain an effective filing system. Attends to the administrative needs of the department.
c) To attend to all phone enquiries to the best of her ability. To assists guest/clients on the phone with the necessary information or/and direct/channel them to the manager in- charge.
d) To send out brochures, promotional articles to clients. Arranges for all such brochures, promotional articles to be sent out on a timely fashion. Monitor stock level of the Banquet Sales Press kit, collaterals, invitation cards, name tent cards etc, ensuring that there are sufficient stock in the store and put up requisition whenever the need arises.
e) To update confirmed events and usage of function rooms as penned and scheduled in the register. Prepares and distributes event orders on a daily and bi-weekly basis.
f) To ensure that the timely and accurate preparation of regular reports on banquet sales and marketing or activities/events relating to Banquet Sales.
g) To update plasma signage and prepare Banquet directional signage on a daily basis
h) Preparation of table menus and food tags
i) To undertake any other related task/duty/assignment that may be given by the supervisor.
a) Managing the administration of the Events Sales office.
c) Ability to work under pressure.
d) Ordering and monitoring office supplies
e) Maintain proper filing of reports and guest records.
f) At least 1 year’s experience in a similar capacity
g) Minimum GCE 'O' level with a pass in English
h) Expecting long working hours
